Training providers that have successfully registered for the Express Provider Portal and have course data on the Portal may clone a course (copying the data from the cloned course into a new course or C-Record). There are a few reasons you might want to clone a course:
Once a course gets denied, it cannot be resubmitted for review. The cloning function allows you to copy course data into a new C-record, make edits as needed, then submit for review again.
If you offer a few courses that are similar but still want to be listed separately on the directory, you can clone the original course and build a new course off the original data.
To use the cloning function, you can follow these easy steps after signing into your Portal accounts:
1. Click on the course you want to clone:
2. Scroll to the bottom of the course information page and click on the box that says, “Clone this course.”
3. After you ensure the course data on the new copy of the course is as you want it, hit “Save and Submit Later” at the bottom of the new copy.
4. The course will automatically be saved in “Draft” mode until you submit it for approval by the Express team.
Note: when you clone a course, you create a course with a new C-record number. For the purposes of reimbursement, this course will be treated as distinct from any prior approved version of this course with a different C-record number. Please ensure that as a provider, you’re communicating the correct C-record number to your clients before they apply and reminding them to check the contents of their service agreements before signing them.
